Ship – Your – Reno Pty Ltd (SYR), (ACN 612 797 289) is committed to protecting your privacy and personal information and ensuring we comply with the Australian Privacy Act 1988 (Cth) (“the Act”). We collect, hold, use and disclose personal information to assist us in carrying on our business. This document sets out the information handling procedures and our mutual rights and obligations in relation to your information.

Who does this policy apply to?

This Policy applies to all dealings SYR has with individuals, including customers, whether directly or via an entity, suppliers and other third-party service providers of SYR.

Collection of personal information

Personal information is information that identifies you or from which you may reasonably be identified. The types of personal information that we may collect about you includes:

  • identification information, including signature;
  • contact details, including personal and business addresses, email addresses and telephone numbers;
  • details of a family member you register as part of an application to do business with SYR for e.g. where an application is made in multiple names;
  • details about your purchases and orders from us and your product and services preferences, warranty claims, customer survey information;
  • customer account numbers or identifiers for SYR membership/subscription programs;
  • employer or business details;
  • digital information, such as cookies (i.e.; small blocks of data files which are transferred onto devices when a website is accessed), tags and pixels (which 'tag' devices), software versions used, device identifiers (like IP address), location data (where available and not disabled by the user), dates, times, file metadata, referring website/app, data entered, and user activity such as links clicked, app installations, app launches, adding items to a basket, adding items to a wish list and making purchases;
  • financial information, including bank account details; and
  • in the event of employment applicants, details of employment history, educational qualifications and any other information ancillary to the application

How we collect information

The main ways we collect personal information about you are:

  • if you purchase or order any product from us;
  • if you contact us, including to make an inquiry regarding our products and services, to provide feedback, to seek a refund, to make a complaint, or to attend an event;
  • interviews, correspondence, telephone, email, and via our website/apps, media and publications;
  • if you are a supplier or service provider, in connection with the supply of products and services by your business to us;
  • if you access our website/apps, including by the use of cookies;
  • if you arrange a service or quote using a booking service provided by a third party in connection with our business, those third parties may share your details with us;
  • if you interact with us via social media platforms;
  • if you subscribe to any of our mailing lists or use any of our online applications;
  • if you participate in any competition that we conduct;
  • if you undertake any of our induction, safety or compliance processes;
  • if you engage, request or seek a quotation for a service from a third party that we use to provide a service to you; or
  • if you submit an employment application to us.

We may also collect personal information about you from:

  • publicly available sources, including from Australian Government agencies (such as the Australian Securities and Investments Commission), internet search platforms and social media platforms
  • any person authorised to act on your behalf or authorised to provide your personal information to us; or
  • any persons you nominate,if you submit an employment application to us.

Remaining Anonymous

  • When we request your information, you have the right to refuse to provide us with information. However, if you decide to do so, we may be unable to process your transaction, provide a personalised service to you, inform you of other products and services that may be of interest to you, or deliver your products or services to you.

Use and Disclosure

We use and disclose personal information in the course or connection of carrying on our business of providing products and services to you.

We may use personal information in the following ways:

We work with a number of third parties when carrying on our business and may disclose your personal information to:

  • third party contractors to whom we out-source certain functions, such as mailing houses, electronic network administrators, IT providers, security services providers, market research, and debt collection agencies;
  • our professional advisers and organisations that provide us with professional advice, such as solicitors, accountants and business advisors, where required so that adviser can provide professional services to SYR;
  • third parties to facilitate the provision of products and services to you (including to facilitate repairs and customer recalls), such as to product manufacturers and suppliers, couriers and installers;
  • marketing, advertising and promotional services providers and event organisers;
  • third parties to facilitate the provision of products or services to you (e.g. manufacturers, suppliers, couriers and installers);
  • third party platforms which display advertising or content based on your information or preferences (including social media and search engines);
  • third parties who provide services in connection with our business operations, undertaking data monitoring, data analysis, data matching activities, monitoring trends in customer preferences and the operation and maintenance of our websites as well as other online application;
  • third parties who we share information with for loss prevention and law enforcement purposes;
  • law enforcement agencies, government agencies or other third parties where required or authorised by law or where the third parties are needed to assist us in investigating and preventing any potential or actual fraudulent activity or breach of the law; and
  • other persons disclosed to you at the time the relevant information is collected.

How we hold your information

  • Depending on the circumstances, SYR may hold your information in either hardcopy or electronic form or both. We have security measures in place to protect personal information held both electronically and in paper form.
  • Transmission of data over the internet cannot be guaranteed, we cannot and do not ensure or warrant the security of any personal information transmitted by you to us over the internet.

Transfer of information overseas

  • Some of our suppliers/service suppliers may be located overseas, they may store personal information provided to them by SYR overseas. Such information will be held or processed in accordance with the applicable law.

Marketing (including advertising) and customer insights

As part of our business activities, we may disclose to third parties personal information for the purpose of advertising, direct marketing and personalised communications. We may engage third parties to assist us with the marketing and advertising we provide to you.

Direct Marketing includes SYR and third parties:

  • sending and/or contacting you directly in relation to promotions about our products and services;
  • personalising the layout of our website/apps to show products and services of interest to you;
  • providing targeted advertising to you;
  • we will provide marketing and personalised communications where you have opted in to receive such information. You can opt out of receiving marketing communications by using the opt out link or in the case of online advertising by managing your preferences in the relevant digital platform; or
  • the third parties we engage to help with our marketing and advertising may use cookies, tags and pixels to gather information about your preferences when you access online platforms and websites/apps, you can manage your preferences in relation to advertising through the relevant digital platform

Request access to or correct personal information

  • You have the right to request access to or correction of personal information held by us at no cost to yourself. Please direct any such requests via the “How to contact SYR” instructions below.
  • We may require you to verify your identity at the time of you request to ensure that we are disclosing your personal information to you only.
  • These requests will be actioned no later than 30 days from request.
  • If we refuse to provide access or make the requested changes, we will advise you as to why and we will provide you with the reasons for the decision. If you are not satisfied with our decision, you can object and lodge a complaint in the manner indicated under the heading “complaints” below.

Complaints

  • If you have a complaint about the collection of your personal information or the way in which we deal with your personal information, or a refusal to a request then please contact SYR using the “Contact” information set out below.
  • We will investigate your complaint and provide you with a response within 30 days. If you are not satisfied with our proposed resolution, you may contact the Office of the Australian Information Commissioner to resolve the complaint.

Accessing Links from our Website or digital platforms

  • Our website may contain links to other websites/apps or digital platforms. If you access third party website/app links from our website personal information may be accessed by the that third party. We are not responsible for ensuring the protection of your personal information when it is collected by any third-party websites/apps.

Changes to this policy

  • We may change this policy from time to time and will publish the changes on our website.

Retention of information

  • We will retain your information, only for as long as the information is needed for the purposes set forth in this Policy and for any additional period that may be required or permitted by law.
